One year base contract with 4 option years

Vendor must be AAA NAID Certified

Location: Redstone Arsenal, Alabama
Offsite paper shredding - Quarterly

Frequency: Quarterly (12 weeks)

96 gallon bin swap – 36 bins
-
Initial bins must be provided for swap

Additional bin keys must be provided

Pickup hours are between 9:00-3:30 Monday-Friday

Shredding must be performed using commercial-grade equipment that produces particle sizes no larger than the 5/8-inch industry standard.

All shredded paper must be securely baled and disposed of responsibly (e.g., recycled or destroyed without reuse as packing material or animal bedding).
Box purge – One-off service

One-time purge of 30 standard banker boxes (10”x12”x15”)

Boxes are palletized: 1 pallet

Documents to match shredding and processing of quarterly paper shredding service
Hard Drive Collection and Destruction – Annual

150 hard drives per year
-
Must include secure collection and certified destruction to ensure all data use permanently and irreversibly destroyed, in compliance with AAA NAID Certification standards

Hard drives must be barcoded and tracked for verification of destruction.

Destruction must be performed using equipment like the Obig-ShredPax model AZ-7V or equivalent, ensuring the drives are completely destroyed and unusable.

Destroyed hard drive pieces must be recycled or sent to a landfill.
Certification Requirements
-
NAID AAA Certification: The vendor must comply with the stringent security requirements of the National Association for Information Destruction (NAID) AAA certification. This includes:
-
Pre-employment and random criminal background checks for all employees.
-
Pre-employment and random drug screening for all employees.
-
Written and verifiable processes for secure destruction of materials.
-
Proof that shredded output is unreadable and meets industry standards.
-
$2,000,000 general liability insurance coverage.
-
Regular audits by NAID to ensure compliance with 27 critical security areas.

All employees must sign confidentiality and non-disclosure agreements.
-
Employees must wear company-issued photo ID badges and uniforms while on duty.
-
The shredding facility must have a secure destruction area monitored by a closed-circuit camera system with recordings maintained for 90 days.
-
The facility must have a monitored alarm system for fire and intrusion, with regular checks of lighting, door locks, and visitor logs.
-
Visitors must sign a log, wear visitor badges, and be escorted at all times.
-
All vehicles used for material transfer must have lockable cabs, fully enclosed boxes, and government roadworthiness inspections.

Materials must be securely contained during transfer to prevent loss or unauthorized access.

Materials collected from secure bins must be destroyed within 3 business days of arrival at the facility.

Large purges of materials must be destroyed within 15 business days, with customer notification if delays occur.

A Certificate of Destruction must be provided for all services, verifying that materials were securely destroyed.

Customers must receive a receipt at the time of material pickup, indicating the type of material and services to be rendered.

The shredding system must be capable of shredding 8 tons of paper per hour or equivalent capacity.
-
Containers must be lockable and designed for secure collection and transportation of materials.
-
Regular quality control checks must be in place to ensure compliance with stated standards.

Operational systems (e.g., alarm systems, cameras) must be checked regularly to ensure proper functionality.
