***THIS IS A FORMAL REQUEST FOR PROPOSAL (RFP). Fax responses and non-electronic responses will NOT be accepted. All responses must be submitted on-line through the SWIFT Supplier Portal before the Event Due Date and Time. Late responses will not be accepted.

PURPOSE: The purpose for this Solicitation (RFP) is to receive responses and award a to contract(s) with a Contractor(s) to provide 2026 and 2027 Round Table Conference for Department of Natural Resources (DNR).

DATES: The dates for the conference will be one option for each year from the following selected dates:

2026 Preferred Date is January 9th, 2026, and the Alternative Date is January 23rd, 2026.
2027 Preferred Date is January 8th, 2027, and the Alternative Date is January 22nd, 2027.

The estimated number of attendees in 400. There is NO LODGING needed for this conference.

The State does not guarantee a minimum number of attendees, or meals. Prices listed on the pricing pages are firm and will not be adjusted if the number of attendees falls below the estimate.

GEOGRAPHICAL LIMITATIONS: The conference facility must be located within Anoka, Carver, Dakota, Hennepin, Ramsey, Scott, or Washington counties.

CONTRACT TERM.  The Contract Term will be from October 1, 2025, to June 30, 2027.

SUBMITTING QUESTIONS. The deadline for submitting questions is August 11, 2025, at 3:00 PM Central Time. Questions must be submitted in writing to Rhiannon Fissehaye at Rhiannon.Fissehaye@state.mn.us. All questions received by the cutoff date and time will be responded to via an addendum.
