PUBLIC INVITATION TO BID
LIBRARY VIDEO WALL AND AUDIO SYSTEM
Notice is hereby given that the Orange Beach City Board of Education will receive sealed
bids for the purchase, delivery, and installation of a Library Video Wall and Audio System for
Orange Beach City Schools.
BID OPENING
Sealed bids will be received until 10:30 A.M. CST on June 2, 2026, at which time bids will be
publicly opened in the Board Room of the Orange Beach City Board of Education, located at:

All bids shall be sealed and clearly marked:
“LIBRARY VIDEO WALL AND AUDIO SYSTEM BID”
GENERAL CONDITIONS
This bid is being solicited in accordance with applicable provisions of the Alabama
Competitive Bid Law. The Board reserves the right to reject any or all bids, waive
technicalities, and award the bid in the best interest of the school system.

The successful bidder shall furnish all labor, supervision, materials, equipment,
transportation, shipping, handling, accessories, mounting hardware, and incidentals
necessary to provide a complete turnkey installation.
Bidders shall provide manufacturer brand names and model numbers for all proposed
equipment.
The award will not necessarily be made to the lowest bidder. In determining the lowest
responsible bidder and best value to the Board, consideration may be given to:
● Product dependability and reliability
● Proven performance history
● Serviceability and ability to maintain equipment
● Vendor reputation and references
● Quality of workmanship
● Compliance with specifications
● Prior experience with similar installations
● Delivery and installation schedule
● Overall, long-term value to the school system
The Board reserves the right to require references and documentation of similar completed
projects.
SCOPE OF WORK
The contractor shall provide and install the following:
AUDIO SYSTEM
● Four (4) pendant-style speakers suspended from the overhead structure and directed
downward
● Two (2) wireless microphones utilizing one (1) dual-channel wireless receiver
consisting of:
● One (1) belt pack transmitter
● One (1) handheld transmitter
● One (1) over-ear microphone
● One (1) lapel microphone compatible with a belt pack
● One (1) DSP/Amplifier combination unit
● One (1) wall-mounted controller with Bluetooth capability for control of DSP/Amplifier
● One (1) 4x2 video matrix switcher
● One (1) HDMI extender kit for connection to the LED wall processor
● Wireless microphone antenna system

● Antenna cable
● Speaker cable
● Cat6 cable
● Shielded Cat6 cable for video applications
● Equipment rack suitable for placement under or atop a counter in a designated
corner location
VIDEO SYSTEM
● One (1) wall-mounted 1.5mm LED Video Wall measuring approximately twenty feet
(20') wide by five feet seven inches (5'7") tall
● The LED wall shall utilize an MX40 processor or an approved equivalent.
● LED wall configuration shall consist of two (2) combined 16:9 walls forming one
continuous display surface
● The existing projector screen shall be removed and replaced with an LED wall.
● The LED wall shall extend approximately sixteen inches (16") below the soffit while
maintaining a minimum clearance of eight feet (8') to the bottom of the display.
● Pricing shall include all mounting hardware and mounting materials
● Electrical power for the wall will be provided by others
LABOR
Bid pricing shall include:
● All labor for complete installation
● Equipment rental as required
● Programming and system configuration
● Testing and commissioning
● Cleanup and disposal of debris
● Coordination necessary for a complete operational system
SHIPPING
Bid pricing shall include:
● All shipping
● Handling
● Freight charges
● Delivery costs

Bidders shall provide pricing in the following format:
● Bid Price

○ Video Wall
○ Labor
○ Shipping and Deliver
■ Manufacturer specifications for all proposed equipment
■ Brand names and model numbers
■ Warranty information
● Proposed installation timeline
SITE VISITS
Interested vendors are encouraged to conduct site visits prior to submission of the bid. Site
visits shall be coordinated through the Orange Beach City Board of Education. Vendors shall
check in at the school’s office upon arrival.
