Scope of Services

Contract Period: August 29, 2026

Event: International Overdose Awareness Day Location: Goodale Park, 120 W. Goodale Ave., Columbus, OH 43215 Event Date: August 29, 2026 Public Event Hours: 11:00 AM - 3:00 PM

Deadline for proposals: Monday, August 3rd, 2026, 1:00pm

Scope of Work

Provide rental, delivery, installation, teardown and removal of tents, tables, and chairs for a public community event expected to serve approximately 200 attendees on Saturday, August 29th, 2026.

Provide six (6) commercial-grade event tents:

Three (3) 20x20 High Peak Frame Tents

Two (2) 15x20 High Peak Frame Tents

One (1) 10x10 High Peak Frame Tent

Provide 23 eight-foot banquet tables.

Provide 230 white folding chairs with metal frame and plastic seats

Deliver all rental equipment to Goodale Park, 120 W. Goodale Ave., Columbus, OH 43215

Install all tents with stakes in accordance with City of Columbus requirements and applicable fire code, including required spacing between tents in the correct locations depicted in the map from Columbus Public Health

Complete setup no later than 10:30 AM on the event date.

Teardown and remove all rental equipment on August 29th following the event (no earlier than 3:30pm)

Leave the site clean and free of debris resulting from installation or removal.

Vendor Responsibilities

Coordinate delivery and setup schedule with Christopher Maitland at Columbus Public Health

Provide all labor, transportation, tools, and equipment necessary for setup and teardown.

Ensure tents and rental equipment are clean, safe, and in good condition with same day set up, teardown and removal.

Carry appropriate liability insurance.

Payment and Invoicing

The contractor will email an itemized invoice to both Christopher Maitland ( ) and Suellen Bennett ( ) after the completion of the event.

Bid

The bid should be entered on one line and include the total cost for all services and equipment outlined in the scope.

All bids must be submitted electronically: paper and /or email bids will not be accepted. Applications must be submitted electronically through the City of Columbus Vendor Services .

Applicant Eligibility Requirements All required

Have a City of Columbus Contract Compliance Number; register with Vendor Services to obtain a number (the agency must be "Contract Compliance in Status Active");

Not be debarred or suspended from working on federally assisted projects or projects in Ohio or with the City of Columbus;

Be registered with the Ohio Secretary of State to conduct business in the state of Ohio
