The RFP #25-025 Glencoe Golf Club Audio Visual Equipment is due on December 23, 2025
at 11:00 a.m. at the Village Hall, 675 Village Ct., Glencoe, IL 60022.
Staff has provided answers to questions received:
1. Can we have a walk through the site? No, building is currently under
construction.
2. Is the building new construction? Yes
3. Was there a pre-bid meeting? No
4. Is Union Labor required? Yes
5. Is prevailing wage required? Yes
6. What are the electrical duties the awarded vendor? All of the connections will be
properly terminated, rough-in trim, no electrical duties required.
7. How much of the system has already been designed by the consultants? The AV
portion of the building is an Owner’s Item and will be designed by the company
chosen for the proposal. (matrix design and implementation of a custom AP,
iPad etc.)
8. Is the turn stand display meant to be outdoor equipped? No
9. When is the installation date? Estimated to be in the spring based on
construction schedule.
10. Project timeline of completion? New clubhouse is estimated to open July of 2026.
11. Do you know how many cable box sources you are going to have? Anticipating
eight boxes.
12. Where is the equipment rack location? Data rack in the mechanical electrical
room F.1 in the shared documents.
13. What size displays are you looking for? A4.10 shows the sizes.
14. Do you have an equipment list? No

15. Regarding the Rough-in – The document states: ( All rough-in work will be completed by
project contractors. Bidders must agree to coordinate with other subcontractors to ensure
cohesive installation) Should the bid include rough in only for AV system components and
no other low voltage systems such as Ubiqiti systems WiFi APs, cameras, data jacks for
offices and POS? Rough-in is not required and will be performed by the electrician.
16. Private dining room: Section 2 of scope of work states: Wireless microphone/ presentation
hub in main dining and private dining- integrate projector into main dining room and
commercial tv display in private dining. Fully integrate with audio sound systems. Can you
confirm the display type for the private dining room is a projector and not a wall mounted TV
display? The display will be a wall-mounted TV not a projector.
17. AV Head End location: Is there an AV rack in the same location as the data rack next to the
janitor closet? Yes
18. Is there a Union labor requirement? This is a Union Labor/prevailing wage project.
19. Golf simulator installations: AV contractor to provide TV displays for golf simulators or is
golf simulator contractor providing these? The AV contractor is providing the displays.
20. Specialty Equipment Details
a. The specifications reference Sheet A6.4 for specialty equipment details; however,
the issued drawing set ends at Sheet A4.30, and Sheet A6.4 was not included. Does
Sheet A6.4 exist and should it be included in the issued set? SHEET A6.4 IS
ATTACHED
b. If Sheet A6.4 does not exist, please clarify how specialty equipment details (e.g.,
projector and screen requirements) should be addressed. N/A
21. Visual Display Responsibility The charts on pages A4.00 and A4.10 of the RFP reference
Sheet A6.6 and note “Visual Display by Others.” Who is responsible for providing and
installing visual display devices (e.g., monitors, projection screens)? THE AV CONTRACTOR
22. Is an AV contractor already contracted for this portion of the work, or is this scope intended
for others (e.g., owner, furniture vendor)? THIS WORK IS PART OF THE RFP
23. Should the proposal include all supporting AV infrastructure (e.g., speakers, cabling,
backbone, control systems) excluding the displays themselves? SPEAKERS, DISPLAYS,
PROJECTOR, SCREEN, MICROPHONE AND MATRIX/CONTROL SYSTEMS SHOULD BE
INCLUDED. CABLING IS NOT INCLUDED EXCEPT TO HAND OFF CONTROL SYSTEM; TV
TO RECEIVER
24. Head-End Rack Location
a. Where will the head-end rack be located? IT CLOSET
b. Should it be a wall-mounted rack or a floor-standing rack? FLOOR

room (integrated with commercial TV display) Full integration with the audio
sound systems is expected? YES
27. Display Brand Preferences
a. Are there any brand preferences for commercial TV displays? NO
28. Video Displays & Mounting
a. Provide hardware for commercial TV displays in: AV CONTRACTOR to provide
in Bar Simulator room, Golf shop, Turn stand area, Private dining room.
Include projector and recessed elevator drop-down mount for the main
dining room.
29. Media Sources
a. Please confirm the number and type of media sources to be integrated (e.g.,
wall plate input, cable box, music source, Apple TV, digital signage). 8
30. Control Systems
a. Are in-wall touch panels required? MAIN DINING PROJECTOR AND TV IN
PRIVATE DINING
b. Should we include a backup hard switch for projector and screen drop-
down? YES
c. Supply all tablets? YES
d. Provide tablet control devices and integrate full AV control applications with
tablets? YES
e. Design, build, and integrate an application-based control system for all AV
inputs? YES
f. Can we use network switches that are not Ubiquiti? YES
