Requirements. The contractor needs to provide lodging, meals in accordance with requirements detailed in Paragraph 4 and a meeting space to host meals and training for participants/training staff. The retreat attendance is expected to be 24 CGOs, 1 Chaplain staff member, and 2 Field Grade Officer mentors - 27 members total. The contractor needs to be registered for processing payment through WAWF. The location needs to be within a 60 minute radius of Santa Rosa, CA; Napa Valley, CA; or Lake Tahoe. Amenities should include (but not limited to):
a. Wireless internet
b. Complementary parking for attendees/staff
c. Pre-Check in option
d. Entertainment facilities onsite or within a
e. Outside hiking options
f. Accessible to local attractions
Meeting Space location. The contractor needs to have large group training/conference space to accommodate up to 27 adults and required audio/visual hardware/software to include one (1) microphone (clip), projector(s), screen(s), and speakers appropriate to the room size. The scheduled time for the meeting space is as follows:
a. Friday, 26 April, 2024 from 1200-1400; and from 1700-1900
b. Saturday, 27 April, 2024 from 0700-0900; and from 1700-1900
Meals. The contractor shall provide complete and nutritious meals for breakfasts and dinners with meal appropriate beverage selection (no alcohol). All meals must be sufficient to feed up to 30 adults in the main meeting area. The contractor shall provide and arrange seats and tables for all slots mentioned below. All meals will be served and consumed in the designated private dining area. The contractor shall provide plates, bowls, cups, cutlery, and napkins for all meals. The contractor shall collect and dispose of dining waste and clean the dining space to include tables and chairs. Specific catering requirements and meals to be served are as follows:
a.Friday, 26 Apr, 2024 from 1200-1300. full lunch for up to 30 adults in the meeting area; from 1700-1800 full dinner for up to 30 in the meeting area.
b. Saturday, 27 April, 2024 from 0700-0900 full breakfast for up to 30 in the meeting area; from 1200-1300 full lunch for up to 30; and from 1700-1800 full dinner for up to 30 in the meeting area.
Activity/Event. It is requested that the venue build in an activity/event into the schedule on Saturday, 27 April 2024, between 0900 and 1700.
