Notes
PURPOSE: Plano ISD Food and Nutritional Services (FANS) is seeking proposals for USDA approved technology solutions in the following areas:
1. Online Meal Payment System
2. Menu Planning/Nutritional Analysis
3. Production
4. Free and Reduced Online and Paper Processing
5. Point of Service Software (POS)
6. Online Digital Suite
7. Menu Board Display (Optional)
8. Inventory Management/Ordering and Receiving
9. Professional Standards Training Tracking Module
The solution includes, but not limited to, the sale, integration, delivery, installation, maintenance, training, and support of this system. Proposal will include, without limitation, all labor, services, materials, insurance, licensing fees, and any other costs necessary for the completion of this project.
We are seeking the full implementation be ready by July 1, 2024.
Any proposer must be willing to meet all the stated current services as a minimum and clearly outline in their proposal any deviations from those stated in the administrator requirements section of this RFP.
This proposal is being issued in accordance with USDA regulations and Title 2 of the Code of Federal Regulations (2 CFR) Part 200 requirements to procure vendors who provide goods and/or services purchased by Plano ISD using federal dollars. This proposal will be used with local, state, federal and grant funded programs.
ANNUAL EXPENDITURE: The estimated expenditure for this contract is approximately $205,000.00 per year. However, this estimate should not be construed to be a guarantee of either minimum or maximum since usage is dependent upon actual needs and available funding. This estimated expenditure may be exceeded by 10% annually.
TERM: The term of this contract will begin on July 1, 2024 through June 30, 2025 . Three additional one (1) year extensions will be available for a possible total length of contract to be approximately five (5) years if agreed to in writing by both parties.
All pricing shall be firm and calculable at the time of sale during the life of the contract and must conform and comply with the proposed pricing in response to the original solicitation.
This proposal may be awarded to one or multiple vendors by line item, section or package as determined to be best value to the District.

Initial Contract Period: July 1, 2024 - June 30, 2025

Contract YR2 (Option): July 1, 2025 - June 30, 2026

Contract YR3 (Option): July 1, 2026 - June 30, 2027

Contract YR4 (Option): July 1, 2027 - June 30, 2028

Contract YR5 (Option): July 1, 2028 - June 30, 2029
