Section 1
PROPOSAL FORMAT AND CONTENT
Proposal shall address proposer’s compliance with minimum requirements and shall include
information in the sequence and format prescribed herein. Proposals submitted which do not
include the following items may be deemed non-responsive and may not be considered for
contract award. Costs of preparation of Proposal will be borne by the proposing firm.
This request does not constitute an offer of employment or contract for services.
REQUIRED ATTACHMENTS - Proposer must complete the following documents and attach each to
the eBid system.
Please submit the following information as an Attachment to the eBid system response (you
must attach a document you will prepare with the requested information to the “Response
Attachments” tab online):
Attachment 1: The Student Nutrition Software System CRITERIA excel document for each of the
following sections. Proposals shall answer each of the numbered Free Response Items for each
section, as well.
- General Requirements (address each one of the requirements in Section 1 in the
order herein established AND answer Free Response Items for that section.)
- System Requirements (address each one of the requirements in Section 2 in the
order herein established AND answer Free Response Items for that section.)
- Customer Service & Technical Support (address each one of the requirements in
Section 3 in the order herein established AND answer Free Response Items for that
section.)
- System Administration (address each one of the requirements in Section 4 in the
order herein established AND answer Free Response Items for that section.)
- Online Payment System (address each one of the requirements in Section 5 in the
order herein established AND answer Free Response Items for that section.)
- Online Digital Suite & Menu Board Display (address each one of the requirements in
Section6 in the order herein established AND answer Free Response Item for that section.)
- Meal Application Processing (address each one of the requirements in Section 7 in the
order herein established AND answer Free Response Items for that section.)
- Point-Of-Sale (POS) (address each one of the requirements in Section 8 in the
order herein established AND answer Free Response Item for that section.)
- Menu Planning & Nutritional Analysis (address each one of the requirements in Section
9 in the order herein established.)
- Inventory Management (address each one of the requirements in Section 10 in the
order herein established.)
- Meal Accountability & Reporting (address each one of the requirements in Section 11
in the order herein established.)
- Fully Integrated Office (address each one of the requirements in Section 12 in the
order herein established.)
Price Proposal
A. Total Proposed Price for software will be entered on the “attachments tab” using the
Pricing Setup for SNS Software Systems excel document for two parts:

• Part 1 – Initial Year/Implementation Costs: All costs associated with implementation
should be included in this section. Do not exclude any cost associated with the use
of the product below.
• Part 2 – Subsequent Year Costs: All costs associated with regular maintenance of
software should be included in this section. Do not exclude any cost associated with
the use of the product below.
B. For each part, the Vendor must provide a complete bid pricing proposal for the following
sections (The Form below is attached separately, for your convenience):
PART 1 - INITIAL YEAR/IMPLEMENTATION COSTS: All costs associated with implementation should be
included in this section. Do not exclude any cost associated with the use of the product below. The
extended price will be the price considered for scoring. If the charge is costed by unit (point-of-sales, # of
employees, # of sites, etc.), you can include that number under unit and the system will calculate the
extended price. If the price is for a bundle of products/services, please enter a "1" under unit to extend the
price.
