Ponce Out-Patient Clinic (POPC) Exhaust Hoods and Ductwork Cleaning Request for Quote (RFQ) 36C24826Q0190
i. The purpose of this amendment is to answer questions that were done during the site visit, add a one-time exhaust hood and ductwork deep cleaning, add a ductwork access door installation, and extend the quote submission deadline.
ii. The answers to questions made in response to the aforementioned solicitation can be seen below.
iii. Line Item Number (LIN) 0003: Additionally, the Contractor shall perform a one-time deep cleaning service of the exhaust hood, associated ductwork, and exhaust fan at the start of the contract.
iv. LIN 0004: The Contractor shall also install one (1) access panel/door in the ductwork to facilitate easy access for inspection and cleaning purposes.
v. Items iii. and iv. above have been added to sections 3.4 and 3.5 of the revised Performance Work Statement (attached), as well as the revised Schedule of Prices (also attached).
vi. The frequency for the quarterly cleanings during the base period has been reduced from 4 to 3, due to the deep cleaning.
vii. The quote submission deadline has been changed to 3:00 PM Atlantic Standard Time (AST) 01/27/2026.

Question: At what times will these services be provided?
Answer: As per PWS section 4.5: All cleaning services for this contract shall be conducted after POPC normal hours of operation, which are 7:00 AM 4:00 PM, Monday through Friday, and shall be coordinated though the Facility POC at least five (5) calendar days prior to the service date.

Question: Where are grease filters be cleaned?
Answer: These shall be cleaned at the facility exterior, behind the loading dock.

Question: Does the exhaust hood ductwork have an access door?
Answer: The exhaust hood ductwork does not currently have an access door. The installation of an access door will now be part of this procurement, as added in LIN 0004, seen on the revised Schedule of Prices.

Question: Can the current roof drains be used when cleaning exhaust fan?
Answer: Yes, as long as large debris is removed, to avoid from clogging the roof drainage system.

Question: How many filters does the exhaust hood have?
Answer: Eight (8).

Question: Can you confirm the ductwork linear footage (LF)?
Answer: The LF of the exhaust hood s ductwork consists of approximately 18 LF, not 75 LF as previously stated. These LF consist of a vertical shaft of 8 2 , followed by a horizontal shaft of 7 5 , forming an L shape (see picture below). The diameter of the ductwork is 24 x 24 .
